Refund Policy

1. Deposits and milestone payments

Every engagement starts with a 50% deposit on signing. The deposit secures your slot on our delivery calendar and covers the first week of scoping, design and engineering work. Because that work begins immediately, deposits are non-refundable once kickoff has happened.

2. Cancellation before kickoff

If you cancel in writing before the kickoff date, you receive a full refund minus a $500 admin fee that covers proposal preparation and calendar reservation.

3. Cancellation mid-project

Either party can terminate an engagement with 14 days' written notice. You are billed for work completed up to the termination date, pro-rated against the milestone schedule. Any prepaid amount beyond that is refunded within 14 working days.

4. Quality issues

If we ship something that materially fails to meet the agreed scope and we cannot fix it within 14 days of you flagging it, you are entitled to a refund of the fees paid for the affected deliverable.

5. Product subscriptions (No Delay AI)

• Monthly plans: cancel any time, refunds for unused days are not issued, your access continues until the end of the current period.
• Annual plans: pro-rated refund available within the first 30 days of the term. After 30 days, refunds are at our discretion.
• Usage-based fees (SMS, WhatsApp, AI tokens) already consumed are not refundable.

6. Non-refundable items

• Third-party costs (Stripe fees, domain registrations, hosting paid through us, paid API integrations).
• Strategy calls outside our free intro slots.
• Optional add-ons explicitly marked non-refundable in your SoW.

7. How to request a refund

Send a written request to billing@codevdigital.com with your engagement code or invoice number, the amount in question, and a one-line reason. We respond with a decision and timeline within 5 working days.

8. Chargebacks

Please talk to us before filing a chargeback, almost every dispute we've had has been a misunderstanding solvable in a 10-minute call. Chargebacks filed without first contacting billing@codevdigital.com may result in account suspension.
